Documents repository is a collection of files that are attached to the specifications. The Repository page shows the files from all specifications in one place. The new Repository is beneficial for both issuers and suppliers and applies for a one document to many specifications relationship. For example one certificate is valid for and linked to multiple specifications
Suppliers may add or update the file in the repository and automatically update specifications in which the file should be attached. Suppliers do not have to update the file (i.e. certificate) in multiple specifications by updating each specification one by one. If the specification, being updated through the Repository page, was accepted before, a new version of specification is automatically created and released, which brings suppliers significant time saving.
Additionally, in the specification, the supplier may either upload the file from his computer or select the file from the repository. Attaching an already uploaded file saves time and bandwidth.
Moreover, drag and drop functionality was added for users who prefer to upload a file this way.
Suppliers see files that the issuer uploaded, but suppliers are not able to delete such file from the repository. The supplier may replace the file in a specification or change the valid from/until dates, but the original file cannot be deleted, because the supplier does not own the file.
Issuers benefit as well. Issuers see files attached by their suppliers on a single page with a search capability. Both suppliers and issuers have access to the Repository page. Only users from the company that uploaded the file (file owners) can delete or edit the file. Neither issuer, nor supplier may delete files uploaded to the SG by another company.
Follow the on-boarding wizard to get familiar with the Repository functionality. The wizard can be turned off in the last step, if you learn the functionality. The wizard can be invoked anytime by clicking on the wizard icon.
