NEW FEATURES
+ Show previous versions of a form
▪So far, in section Forms, only the latest release version of a form was available. Newly it is possible to use the checkbox Show History to display all previous versions of your forms.
+ New design of form status and type filters
▪We made a small redesign of the filters to better utilize the space. More space was needed for (multi) issuer selection list and specification history selection. Additionally, more space will be needed for upcoming features. The switches formerly used for filtering forms according to their processing status have been replaced with buttons that turn blue when selected. The form type filter was replaced with a drop-down list with checkboxes. This change applies both to sections Inbox and Forms.
▪Issuers may find all information related to a supplier in a single place. The Supplier card is accessible either from the Dashboard or by searching the supplier in Settings/Partner. Issuers can click on a supplier's name in the Dashboards to display a structured overview with contact details, charts, KPIs, and custom comments. More information about the supplier and functionality will be added to the Supplier card in the near future. It will be possible to find all/expired documents related to a supplier, find more KPIs, and risk assessment of the supplier.
+ Adding sections to master form
▪Additional sections can be inserted when editing a master form. (Automatic update of the SpecPDM interface configuration after adding a new section requires SpecPDM 12.1. and an update of the interface.)
+ Managing selection lists and units
▪Issuers have now the possibility to add new selection lists and to manage units used in the master form. New section Master data under Settings can be used to centrally configure selection lists and units that are used in the templates. Managing selection lists and units is also possible directly from the Master Form editor. It is only possible to manage these items only for draft master forms. It is not possible to add selection lists or units to a published master forms because it would affect existing specifications.
+ New Options for configuring selection lists in Master Form Editor
▪The selection list configuration dialog now allows selecting two types of options sorting - custom and alphabetical. For the custom sorting, the user can manually change the order of the options in the list. The user can also decide whether the selection list will have the (1) first option preselected by default or will contain (2) no default option (selection list is blank, supplier has to choose an item from the drop-down).
+ Forwarding of auto-response emails (out of office) to senders
▪In the past, auto-response emails (out of office, email address not valid, full inbox) from both suppliers' and issuers' email addresses were sent to gfsn_noreply. This caused that issuers were not aware that suppliers might not respond, because their email no longer works or the user is out of office. Newly, the auto-response emails are forwarded to the sender's email. E.g. if the supplier is out-of-office and receives a specification, its issuer will receive an out-of-office email. If the issuer is out-of-office and the supplier releases a specification, the supplier will receive the out-of-office email. The forwarded auto-response emails will be CCed to the email address set in the Settings/Company > Company CC email address. This feature will also work for expiring/expired documents or specifications notifications. If a certificate expires, the system sends an email notification to the supplier. In case of an auto-response email from the supplier's email address, the system will forward the email to the issuer.
+ Import criteria, selection lists, units, additive classes from theSpecPDM
▪It is now possible to import the master form data structure from SpecPDM to the Supplier's Guide. Using the Templates Manager in SpecPDM it is possible to export criteria, selection lists, units, additive classes, or data limitations. The exported data can be imported to a draft master form in the Supplier's Guide. This saves time because the criteria and selection lists can be kept just in SpecPDM and imported to the Supplier's Guide master form without the need to re-enter them in the second system. This feature requires activation by SpecPage, SpecPDM 12.1 or newer, updating the Template Manager, and updating the interface.
+ Automatic archiving of specifications for inactivated materials
▪Whenever a material is archived in SpecPDM (its processing status is set to Inactive), the linked specification is automatically archived also in the Supplier's Guide upon the next interface run. Archiving specifications is necessary because archived (inactive/not needed) specifications are not checked for their expiration or expiration of the documents they contain. Suppliers are not notified when it is not necessary. This also helps with keeping the Forms section better organized. This feature requires activation by SpecPage, SpecPDM 12.1, or newer and updating the interface.
+ Ingredients inactivated in SpecPDM are also inactivated in the Supplier's Guide
▪If the ingredients have been inactivated in the SpecPDM, they will be inactivated in the Supplier's Guide as well. Inactivated ingredients are not available for inserting. In case the ingredient had been inserted in the specification before its inactivation in SpecPDM, the ingredient is highlighted and it is not possible to release the specification unless it is removed. Supplier is prompted to replace the inactive ingredient. This feature requires activation by SpecPage, SpecPDM 12.1, or newer and updating the interface.
+ 'To be used in ingredients list' always on
▪If the field 'To be used in ingredients list' is not used in the Ingredients section, it will be always checked in the SpecPDM after downloading the specification to the SpecPDM. If this field is used, then its value (Yes/No) is downloaded as checked by the supplier. In most cases, suppliers should not determine whether or not the ingredient should be included in the Ingredients list. This feature requires activation by SpecPage, SpecPDM 12.1, or newer and updating the interface.
